Decision guide · co-managed vs fully managed
Co-managed IT vs fully managed IT: which model fits your company?
If you already employ one or two IT people, the choice is rarely 'keep them or outsource'. It is how to split the work. This guide compares co-managed and fully managed IT, shows a responsibility matrix, and explains how to decide.

| Co-managed IT | Fully managed IT | |
|---|---|---|
| Who you employ | One or more IT staff | No IT staff, or a coordinator |
| Day-to-day user support | Mostly internal; provider for overflow and cover | Provider |
| Monitoring, patching, security tools | Provider, with internal visibility | Provider |
| Business applications knowledge | Internal team | Provider learns and documents it |
| Escalation depth (network, cloud, security) | Provider | Provider |
| Leave and sickness cover | Provider covers the internal team | Built into the provider's team |
| Strategy and budget | Shared; internal lead owns decisions | Provider advises; you decide |
| Main risk | Unclear split between teams | Less business knowledge onsite |
| Cost shape | Internal salaries plus a smaller provider fee | Provider fee only |
A sample responsibility matrix
R = does the work, A = approves, I = informed. Adjust to your team; the point is to write it down.

| Monitoring and alerts | I | R |
| Patching servers and devices | A | R |
| Endpoint and email security | I | R |

| Firewall and network changes | A | R |

Co-managed usually fits when
- You have a capable IT person who knows the business but is alone or overloaded.
- You need security tooling and monitoring your team does not have time to run.
- You want cover for leave without hiring a second person.
- Your internal team wants an escalation partner for network, cloud and security work.
Fully managed usually fits when
- Nobody in the company has IT as their main job.
- Your IT person is leaving and you are deciding whether to replace them.
- You run several sites or entities and want one standard owned by one team.
What to agree before you start
- The written responsibility matrix, reviewed each quarter.
- Shared tools: one ticket system both teams can see, one documentation store.
- Admin access for named people on both sides, with MFA, and access removed when people leave.
- Change approval: who can approve firewall, Microsoft 365 and server changes.
- SLA targets for the provider's part (see our IT SLA buyer's guide).
- Support hours: business hours, with agreed out-of-hours cover.
Cost
Co-managed fees are usually lower than fully managed for the same users because the provider does less day-to-day support, but you keep internal salaries. Use the in-house vs outsourced cost framework to compare all three options, and the managed IT cost guide for published ranges.

Frequently asked questions
What is co-managed IT?
Co-managed IT means your internal IT staff and an outside provider share the work under a written split. Typically the internal team handles local users and business systems, and the provider supplies monitoring, security tooling, patching, backup checks, escalation depth and cover during leave.
Who is responsible when something goes wrong in a co-managed setup?
Whoever the responsibility matrix says. That is why a co-managed contract needs a clear RACI listing each task, who does it, who approves and who is informed. Without one, issues fall between the two teams.
Will co-managed IT replace our IT staff?
No. The point is to make your internal team more effective: fewer routine tasks, better tools and someone to escalate to. Many companies use it to keep a valued IT person from burning out.
Can we start co-managed and move to fully managed later, or the other way?
Yes. Because both use the same tools and documentation, the split can be changed at renewal as your team or needs change.
Does Missan offer co-managed IT?
Yes. We run fully managed and co-managed IT, and agree the responsibility split with your team in writing before we start.
