Microsoft Teams Phone vs 3CX: a decision guide for UAE offices.

Where each option fits, what to check about numbers and telecom operators in the UAE, how call handling and costs differ, and when Teams connected to 3CX is the practical middle route.

The question behind the comparison

Most UAE offices already live in Microsoft Teams for chat and meetings, so a natural question follows: can we also make and take our company calls there, and is that better than a dedicated business phone system? The answer depends on how your office uses the phone, where your staff work and what you need from your telecom operator. This guide sets out the decision rather than recommending a winner, because the right choice differs from one office to the next. For background on the phone system itself, see our 3CX cloud phone system guide.

What each option is

  • Microsoft Teams Phone adds calling features to Teams, so staff dial, answer, transfer and use voicemail inside the app they already use. Reaching the public phone network depends on the calling arrangement available in your country.
  • 3CX is a business phone system, hosted in the cloud or on your own premises, with extensions, call routing, queues, recording and desk phone support. Missan is a 3CX Partner.
  • Teams connected to 3CX keeps the phone system as the engine and lets Teams act as one of the places a call rings. Our Teams calling page describes this route.

Start with the UAE telephony reality

Voice calls in the UAE have to run over a licensed telecom operator, so you cannot treat "add phone calling to Teams" as a software switch alone. Check these points in writing before you commit to any design.

  1. Which operator provides your lines and numbers today, and what are the notice and porting terms?
  2. How will outside calls reach Teams or the phone system, and who is responsible when a call fails: the operator, the provider or you?
  3. Are emergency calls routed correctly from every location, including home-based staff?
  4. Does the arrangement support the number types you rely on, such as a main line, direct numbers and any toll-free number?

Calling arrangements and Microsoft product availability change, so verify current terms with Microsoft and your operator rather than relying on a general article, including this one.

Call handling: where the real differences appear

For a small team making occasional calls, both options are usually enough. Differences appear when call handling becomes part of how you serve customers.

  • Reception and auto attendant. Menus in Arabic and English, office hours, holiday routing and voicemail to email.
  • Queues and ring groups. Who answers, in what order and what happens when nobody does.
  • Recording and reporting. Whether you need recorded calls, searchable history and simple reports.
  • Integration. Connection to your CRM, helpdesk or ERP, so a call opens the right customer record.
  • Desk phones and reception consoles. Some staff, especially front desk, still prefer a physical handset.

Write down the features you use today and the ones you wish you had. Then check each option against that list, not against its marketing page.

Users and where they work

If most staff work at laptops all day and already use Teams, calling in Teams reduces the number of apps. If your office has a reception desk, a warehouse counter or shared lines, a dedicated phone system with desk phones may fit better. Hybrid and remote staff are well served by either, as long as audio quality and network readiness are checked, which our remote and hybrid work guide covers from the security side.

Cost structure, not just price

Do not compare headline prices. Compare the shape of the cost.

  • Teams usually involves per-user licences, plus calling arrangements, plus any connector to the telecom network.
  • 3CX involves a licence edition sized to your needs, telecom trunks or lines, handsets if you want them, and support or partner services.
  • Both involve your internet connection, network quality, headsets and the time to move and train staff.

Ask each supplier for a quote at your actual user count over the full contract term, including what is excluded. Microsoft licensing in particular changes, so verify current terms; our Microsoft 365 licensing guide explains how to read the options.

The hybrid route

Many UAE businesses do not need to choose one world. Connecting Teams to 3CX keeps the strengths of a dedicated phone system, such as queues, recording and desk phones, while staff answer calls from Teams on a laptop or mobile. It also lets you keep existing numbers with your operator. The trade-off is one more system to run, so it should be managed by someone who owns the whole call path.

How to decide

  1. Document your numbers, operator, user count and current call flows.
  2. List must-have and nice-to-have call features.
  3. Decide whether desk phones and reception consoles stay.
  4. Ask each route for a written answer on the operator, number and emergency-call questions above.
  5. Run a small pilot with real calls before moving everyone. The migration checklist covers cut-over and fallback.

Where to start

Bring your current phone bill, number list and a description of how calls are answered. Missan's business phone systems page explains the 3CX route, and the free IT health check reviews your network readiness. Common questions

Can Microsoft Teams replace our office phone system in the UAE?

It can for some businesses, but voice calls in the UAE run over licensed telecom operators, so the route to the public phone network needs careful checking. Many UAE offices connect Teams to a phone system such as 3CX rather than relying on Teams alone. Verify current availability with Microsoft and your operator.

Do we keep our existing phone numbers?

Usually yes. Numbers normally stay with your telecom operator and the phone system routes them. Ask your operator and provider to confirm this in writing before any change.

Is 3CX only for companies that do not use Teams?

No. 3CX can sit beside Teams or connect to it, so staff can answer company calls in Teams while the phone system handles routing, queues and recording.

Which option is better for a call centre or busy reception?

Queues, wallboards, call recording and reporting are core strengths of a dedicated phone system, but Teams has queue features too. List the features you actually use and test them in a pilot before deciding.

How do the costs compare?

They are structured differently: per-user licences and calling arrangements for Teams, and licence editions, trunks and support for 3CX. Compare the total for your user count over the contract term using current quotes rather than list prices.
