windream in the Middle East: what it does and where it fits in UAE and GCC companies
windream is a German document management and ECM platform. Missan Global is its Exclusive Middle East Partner. This guide explains what the platform includes, the jobs UAE and GCC companies use it for, and the deployment choices you make before you buy.
What windream is
windream started as a document management system and is now a wider ECM platform. The parts that matter to most buyers:
- Document management core: index and full-text search, versioning, check-in and check-out, permissions down to user level, retention and lifecycle rules, and an audit history. A viewer opens several hundred file formats with annotation and redaction.
- Capture: scanning, an OCR service, watched folders that import and index files automatically, barcode handling and automatic indexing of PDFs by their content.
- Workflow: a graphical designer for approval and routing processes, run on top of the document store.
- Ready-made solutions: incoming invoice management, document approval, purchase requisitions, contract management with deadline reminders, travel expenses and onboarding.
- Digital files: pre-built customer, supplier, project, HR and contract files that file new documents into the right folder automatically.
- Archiving: Exchange and Outlook email with attachments, plus Teams channels, SharePoint Online sites and OneDrive.
- Integration: certified SAP connectors, connectors for several finance systems, a REST web service and SDKs.
- AI features: document summaries, questions and answers over your documents, and on-demand translation.

Use cases we see in UAE and GCC companies
1. Supplier invoices
Invoices arrive by email and on paper, get printed, signed, scanned and lost. With windream, the invoice mailbox or scanner feeds capture, OCR reads the key fields, and the invoice goes to the right approver with the purchase order and delivery note attached. Finance sees the status of every invoice, and the approved record is archived with its trail. ILLUMIN8 FZE, a made-to-measure blinds and curtains manufacturer, uses windream to send verified order information straight to production; the same workflow engine runs invoice approval.
2. HR and employee files
Passport and Emirates ID copies, visas, contracts, appraisals and leave records sit in one digital personnel file per employee, with access limited to HR. Retention rules decide when a leaver's file is reviewed. This also gives you the record of who can see personal data that the UAE PDPL expects; see our UAE PDPL questions and answers.
3. Contracts
Contracts, amendments and related correspondence live in one contract file. Renewal and notice dates are index fields, and reminders go out before the date, not after it. Lease, maintenance, supplier and customer contracts are the usual first batch.
4. The e-invoicing archive
Under Ministerial Decision 244 of 2025, as amended, UAE businesses exchange e-invoices through an Accredited Service Provider. That covers the exchange, not the paperwork around it. windream keeps the archive copy of each invoice with the order, the delivery note, the approval and any correspondence, so an audit question has one place to look. Check your own dates with our e-invoicing deadline checker, and read e-invoicing for IT and ERP teams for the systems work.
5. Going paperless in stages
Filing cabinets are scanned in stages, starting with the records people pull most often. Emirates Industrial City's CEO describes reaching a paperless office on windream in the client video on our windream page.
6. Email and Teams archiving
Rules archive email and attachments by customer, project or case, so the record survives when a mailbox is deleted. Teams channels and SharePoint sites can be archived the same way, under your retention rules.
Arabic documents
Arabic and English documents are stored together with the same index fields, permissions and retention. A contract in Arabic and its English translation can be one record, found by the same customer or case number. Arabic text recognition on scanned paper and an Arabic user interface depend on the release and your documents, so we test them in a workshop with your own samples before you buy.
Deployment options
- Your own servers: Windows servers in your office or data centre, connected to Active Directory. The usual choice when documents must stay on premises.
- A UAE private cloud: hosted infrastructure in the UAE, such as a Sangfor private cloud, when you do not want to run servers.
- Remote and branch access: a web and mobile workspace, a Citrix or terminal server client, and a proxy server for sites on slow links.
- Storage: local disk and SAN, or storage connectors including Microsoft Azure and Amazon S3, with tiering for older documents.
Whichever you choose, back it up like any other business system and test a restore. Our backup restore test checklist covers it.
How a project usually runs
- Scoping call: the documents that hurt most, the systems they come from, users and sites.
- Workshop: index fields, folder structure, permissions and retention for the first use case, tested with your own documents, Arabic included.
- Build: install on your servers or private cloud, connect Active Directory and Microsoft 365, configure capture and workflow.
- Migrate: existing files moved in staged batches, with a way back.
- Train and support: short role-based training, then support from Sharjah. We reply within one business day.
Questions to ask before you buy any DMS
- Where will the documents be stored, and can that be inside the UAE?
- How do documents get in: scanner, email, watched folder, ERP?
- Who can see HR and finance records, and can you prove it?
- What happens to a document at the end of its retention period?
- Which ERP connector is included, and which is extra?
- How do you get your documents out if you leave?

Frequently asked questions
Who sells and supports windream in the Middle East?
Missan Global is windream's Exclusive Middle East Partner. We license, install and support it from our head office in Sharjah, with remote coverage across the Middle East. The partner letter is available on request.
What is windream?
windream is an enterprise content management (ECM) and document management (DMS) platform from Germany. Its core stores, indexes, versions and controls access to documents, and modules add scanning and OCR, workflow, ready-made business solutions such as invoice and contract management, email archiving and ERP connectors.
Can windream run on our own servers in the UAE?
Yes. It runs on your own Windows servers or on a private cloud, so documents can stay in the UAE when a regulator, a client contract or your own policy requires it. It also supports Citrix and terminal server environments, and storage connectors include Microsoft Azure and Amazon S3 where cloud storage is acceptable.
Does windream handle the UAE e-invoicing mandate?
No document system replaces the Accredited Service Provider (ASP) that the Ministry of Finance requires. Your invoices travel through an ASP. windream keeps the archive copy, the purchase order and approval trail around each invoice, and can run the incoming-invoice approval workflow. Missan is not an ASP.
Does windream work with Arabic documents?
Arabic and English documents sit in the same repository with the same index fields, retention rules and permissions. If you need Arabic text recognition on scanned paper or an Arabic user interface, we confirm what the current release supports for your documents in a workshop, before you commit. Proposals, documentation and support are in English.
How is windream licensed?
As a per-user subscription in three bundles. The smallest covers document management, scanning, OCR and email archiving; the larger ones add workflow, analytics and a choice of ready-made solutions, records and connectors. We quote after a scoping call because the right bundle depends on which use cases you start with.
Does it work with Microsoft 365 and our ERP?
windream archives Exchange and Outlook email with attachments, and can archive Teams channels, SharePoint Online sites and OneDrive content. There are certified SAP connectors, connectors for several finance systems and a REST web service API for others. We map the integration points for your ERP during scoping.
